³Õºº¾ãÀÖ²¿ College Dining Services: Catering Policies

This document outlines the policies for catering services provided by ³Õºº¾ãÀÖ²¿ College Dining Services.

  1. External Catering Policy

³Õºº¾ãÀÖ²¿ College Dining Services facilities are licensed to provide all food and beverages. All food and beverage services generally must be provided by Dining Services.

Exceptions:

  • On rare occasions, permission for an external caterer may be granted for a licensed facility.
  • These exceptions are made solely at the discretion of the Executive Director of Dining Services.
  • Any additional requirements will be communicated upon approval.

This policy applies to all organizations, including faculty, staff, students, and external groups.

Licensed Catering Facilities: The following locations are licensed catering facilities where this policy applies:

  • Thorne Hall Dining Room
  • Moulton Union Dining Room
  • Smith Union Dining Facilities
  • Main Lounge
  • Daggett Lounge
  • Lancaster Lounge
  • Mills Hall Event Space

Booking & Notice:

  • All events planned for licensed facilities must first reserve the space through the Office of Events and Summer Programs.
  • Please communicate all food and/or beverage service requests to ³Õºº¾ãÀÖ²¿ Dining Services as soon as possible, with a minimum notice of two weeks.
  1. Guest Counts and Guarantees

  • Before booking your event space, please check on Dining Services' availability to cater your event.
  • The guaranteed number of guests for your function must be provided to the Dining Catering Manager, Robert Fente (rfente@bowdoin.edu or 207-725-33453), no less than 7 days in advance (this is your "date of guarantee").
  • If no guaranteed number is provided, the number given when the initial order was placed will be used for billing.
  • Count reductions may be accepted after the guarantee date, but the amount charged will not be reduced.
  • For health and safety reasons, all leftover food must remain on the premises and cannot be removed by the client.
  1. Event Staffing

  • The Catering Manager will determine the necessary staffing for your event based on your group's size, menu, service style, and location logistics.
  • Events requiring waitstaff and/or bartenders are charged based on a three-hour minimum.
  • The hourly rate for staff is $30.00 per hour, per staff member.
  • For events longer than three hours, additional time will be charged at the same hourly rate.
  1. Delivery Information and Fees

Delivery fees apply to all campus locations except Thorne Hall and Moulton Union.

  • $125.00: Full Service Events
    • (Applicable to other campus locations besides Moulton Union and Thorne Hall)
  • $50.00: Breaks, Refreshments, Bar Service, and Basic Meal Service
    • (Applicable to other campus locations besides Moulton Union and Thorne Hall)

Additional Service Charges (for locations other than Moulton Union and Thorne Hall):

  • China Service: $5.00 per person
  • Additional Table Linens and Spandex Tablecloths: $10.00 per tablecloth
  • Skirting: $30.00 per panel
  1. Alcohol Service

³Õºº¾ãÀÖ²¿ College Dining Services is a licensed entity regulated by the Maine Department of Public Safety Liquor Licensing and Inspection Unit. We are committed to complying with all State of Maine liquor laws.

In compliance with Maine State Law:

  • Our liquor license prohibits you from bringing your own alcoholic beverages onto the premises.
  • The sale or consumption of alcohol by a minor (under 21 years), or to anyone without proper identification, or the service of alcohol to anyone who appears intoxicated, is strictly prohibited.
  • Members of your group must consume all alcoholic beverages within the designated areas only and cannot carry their drinks outside of these boundaries.

Arranging Alcohol Service:

  • To allow ample time for Dining Services to obtain necessary town and state permits, arrangements for alcoholic beverage service must be made three weeks in advance of your event.
  • A permit fee of $30.00 will be charged for all events requiring alcohol.

Alcohol Service Options: You may choose one of the following for your event:

  • Open/Host Bar: All charges for an open bar will be paid by the host, in accordance with our current price list.
  • Cash Bar: Individuals requesting alcoholic beverages will be charged on an individual basis, in accordance with our current price list.

Bartender & Bar Minimums:

  • Bartenders are charged $30.00 per hour with a three-hour minimum.
  • Generally, one bartender per 50 guests is required for good service.
  • A minimum bar sale of $200.00 is required per event to cover the cost of transport and bar setup.
  • Small complimentary snacks, such as pretzels, will be served during bar service at no additional charge.
